Legal & Company Standing

Business registration / tax code (MST) provided and verifiable on the national registry?Cross-check name, address and status yourself — don't take a PDF at face value.
Registered address matches the actual production/office address?Red flag if they can't explain a mismatch.
Years in operation and ownership structure clear?
Manufacturer or trader? Confirmed, not assumed.Red flag if they claim "factory" but can't show production on a live tour.
Corporate email + landline exist (not only WhatsApp/WeChat)?

Export Capability

Direct export licence / documented export history?
Experience exporting to your target market (EU / US / GCC / JP)?Ask for destination ports and (masked) B/L evidence.
Familiar with the FTA that applies to you (EVFTA, CPTPP…) and origin rules?
Can issue / support required documents (C/O, packing list, phytosanitary)?
Realistic lead time and stated production capacity vs your volume?

Product Quality & Certifications

Relevant certifications valid and unexpired? (ISO 9001 / HACCP / BRC / GlobalGAP / OEKO-TEX / FSC…)Match the certificate to the product category — and verify the issuing body.
Written product specification agreed (grade, moisture %, dimensions, tolerances)?
Quality control process in place? (incoming, in-process, final)
Sample provided and evaluated against spec before any bulk order?Red flag if they resist sending a representative sample.
Batch traceability and recall procedure (critical for food)?

Facility, Social & Compliance

Live video tour or on-site visit completed — production line and warehouse seen?
Sub-contracting disclosed? (who actually makes the goods)
Social/ethical compliance where buyers require it (BSCI / SMETA / Sedex)?
For EU wood/furniture: EUTR / EUDR due-diligence readiness?
Storage and hygiene conditions appropriate (cold chain for seafood)?

Commercial & Shipment Terms

Payment terms reasonable? (accepts L/C or staged 30/70 — not 100% advance only)Red flag if only full prepayment is accepted, plus pressure to hurry.
Price in line with the market — not suspiciously below?Too-cheap + urgency is the classic scam signature.
MOQ, Incoterms and packaging agreed in writing?
Pre-shipment inspection and loading supervision allowed?
At least one commercial reference or verifiable trade record?
